Job Description

Overview:

We are seeking a detail-oriented Construction Accounting Assistant to support our accounting operations. This role is responsible for accounts receivable, accounts payable, certified payroll reporting, and general administrative support within a job-costing environment. The ideal candidate is organized, accurate, and comfortable working with both paper and electronic filing systems.

Key Responsibilities:

  • Accounts Payable (A/P): Process vendor and subcontractor invoices; verify accuracy of cost codes and cost classes; ensure timely payments.
  • Accounts Receivable (A/R): Prepare and process billings; track and follow up on outstanding receivables.
  • Certified Payroll Reporting: Prepare and submit compliant certified payroll reports as required.
  • Job Cost Accounting:
    • Enter and track labor, materials, subcontractor invoices, and other job-related costs.
    • Maintain accuracy within our job numbering system.
    • Understand the importance of proper cost coding and job allocation.
  • Administrative Support:
    • Filing (paper and electronic)
    • Data entry
    • Answering phone calls
    • Collecting and organizing COIs, W-9s, and other required documentation
  • Software Use:
    • Work within Foundation Software for all accounting and job-cost data entry.
    • Utilize spreadsheets as needed for reporting or tracking.

Qualifications:

  • Prior experience in construction accounting or job-cost accounting preferred.
  • Familiarity with A/P, A/R, and certified payroll processes.
  • Experience with Foundation Software is a plus.
  • Strong organizational skills, attention to detail, and ability to manage multiple tasks.
  • Good communication skills and comfort interacting with vendors, subcontractors, and internal team members.
